The Customer
Jeffersonville Aquatic Club
he team is part of the Southern Indiana Swim Association, a local summer swim league that is vital in introducing children to competitive swimming. As a feeder program for USA Swimming teams, the league helps young swimmers develop their skills and confidence. The team, one of the three larger ones in the association, is known for fostering talent in a positive environment.
Emily, who has been with the team for 18 years, is the head coach and league representative. She manages coaching, meet entries, and parent communications. Her experience and dedication have been key in maintaining the team's success and smoothly transitioning to new technologies like Swimmingly, ensuring the team continues to thrive.
The Challenge
Overcoming Operational Hurdles
The team’s previous system for managing swim meets was cumbersome, relying on a combination of paper records, manual data entry, and outdated software. This approach led to several challenges:
- Paper Dependency: The team had to print and manage extensive paper records, which were prone to getting wet or lost during outdoor meets.
- Complex Software: The previous software (Team Manager and Meet Manager) was difficult to learn and use, especially for new volunteers and parents.
- Volunteer Burden: The manual processes required a significant number of volunteers, which was challenging to coordinate and manage.
The primary objective was to find a solution that would reduce reliance on paper, simplify meet management, and streamline operations for both coaches and parents.
The Solution
Embracing Digital Transformation for Seamless Meet Operations
- Reduction in Paper Use: Swimmingly eliminated the need for printing timer sheets and other paper-based records. Emily appreciated how the timers sent the times directly to her, reducing the need for runners and manual data collection. This not only saved time but also minimized the risk of lost or damaged records.
- Ease of Use: The platform was user-friendly, making it easier for both new and experienced volunteers to navigate. Emily noted that even though some parents initially struggled with the different platforms (Swimmingly, SwimminglyFan, and the Clubhouse), they quickly adapted, especially with the help of visual guides and instructions.
- Time Savings: The transition to Swimmingly saved the team several hours per meet by automating processes that were previously manual. This allowed Emily and her volunteers to focus more on the athletes and less on logistical challenges.
- Increased Efficiency: The team was able to run meets more efficiently, with the average meet duration remaining steady despite the automation. The largest meets, with around 150 swimmers, still finished on time, thanks to Swimmingly's streamlined processes.
- Reduced Volunteer Requirements: By automating timing and data collection, the team reduced the need for certain volunteer roles, such as runners and backup timers. This made it easier to manage volunteer assignments and ensured that the meets ran smoothly with fewer hands on deck.
- Enhanced Parent Satisfaction: Parents particularly appreciated the real-time access to race results through the SwimminglyFan app. This feature allowed them to stay informed and engaged throughout the meet, without needing to wait for printed results or ask around for their child’s times.
